Summary

BOX OFFICE MANAGER
The Box Office Manager oversees the day-to-day operations of the box office. This is a high-quality concierge customer service position.
During the summer performance season, the box office is located at the Pickard Theatre on the Bowdoin College Campus. The Box Office Manager shall oversee the box office operations selling tickets, ensuring the smooth, and safe flow of patrons from arrival, ticket check-in, concession, seating, circulation at intermission, and departure, as well as manage the box office staff.
Post and pre-season, the box office is located at the Elm Street Creative Building selling subscriptions, renewals, individual ticket sales and overseeing the day-to-day box office operations.
The Box Office Manager consults with the Managing Director, Artistic Director, Patron Services Manager, Development Director, and Director of Marketing and Communications to maintain and grow the theatre’s subscriber base and single-ticket buyers.

PRIMARY RESPONSIBILITIES
Essential functions include (but are not limited to):
• Selling season subscriptions, subscription renewals and single tickets using our ticketing software platform Patron Manager
• Work with patrons with their ticket exchanges & seating discrepancies
• Sell gift certificates
• Operate and maintain the ticketing and patron management database
• Oversee the day to day operation of the Box Office year-round, and front-of-house and ticketing services during the summer season
• Conflict management
• Act as the Receptionist at the Elm Street location
• Pull targeted lists for marketing and fundraising initiatives
• Follow all clean data-entry procedures and expectations
• Ensure compliance with MSMT’s policies for handling credit cards
• Interview summer box office staff and front-of-house staff team with the Company Manager and Patron Services Manager
• Supervise House Management and Patron Shuttle Transportation
• Work with House Management to train volunteer ushers
• Cultivate an environment of high-quality concierge customer service to all patrons
• Act as the liason between our audience, artists, production crew, and annual staff
• Manage communications with audience inquiries in a timely and professional manner
• Anticipate and resolve key event-related issues such as crowd management, ticketing discrepancies, and late seating
• Reconcile cash, credit card, sales, and audit reports related to Box Office Ticket Sales and Concessions daily
• Work to increase support for and awareness of MSMT and its programming in conjunction with the marketing and development team
• Review promotional messaging for comprehension and accuracy
• Determine logistics and feasibility of promotions involving the Box Office
• Monitor sales and attendance records, prepare reports including point-in-time and year-over-year analyses to aid in budgeting, tracking, and projections. Communicate all box office transactions (daily, monthly, and yearly) to the finance department.

PHYSICAL REQUIREMENTS
● Prolonged periods of sitting, standing, bending, kneeling, and climbing
● Ability to regularly move and lift 30-50 lbs. All positions involve lifting and moving cumbersome boxes, packages, equipment, etc.

WORK WEEK and HOURS
● MSMT’s work week during post/pre-season is Monday-Friday, 9 am – 5 pm. Weekends off unless there’s a special event
● MSMT’s work week during the summer season is Monday through Sunday. Schedule/hours vary based on its creation by the Box Office Manager. All are guaranteed one scheduled day off per week during the summer
● The work week will be approx. between 40-60 hours during the summer season
● All positions will work weekends, holidays, and evenings as required per department during the summer performance season and occasionally during post/pre-season

EXEMPT
The Box Office Manager is an exempt, salaried position with no overtime.

Requirements

QUALIFICATIONS
The following skills and experience are preferred:
● Box Office or Customer Service preferred
● Bachelor’s degree in arts administration, non-profit management, related field, or comparable experience
● Excellent organizational, interpersonal, time management, multi-tasking, problem solving, and all forms of communication skills
● Experience working in a fast-paced, energized, and quickly changing environment
● Able to work independently and as a team player
● Detail oriented and able to prioritize efficiently
● Excellent computer/technology skills, especially in Microsoft Word and Excel. Knowledge of Leap/Patron Manager, Salesforce, or other CRM ticketing software is a plus. (Training will be provided)
● Ability to manage a budget
● Experience managing and training employees and volunteers
● Must be available to work nights and weekends, especially during summer
